A. What personal data we collect and why we collect it:
1. Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
2. Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
3. Contact forms
Any messages posted to us from the website’s Contact Forms will be treated the same as any other electronic, e.g. email correspondence received by us.
MindFrameNZ reserves the right to ignore incomplete, unintelligible or inappropriate messages and to treat and dispose of them as we would any unsolicited electronic communication such as spam.
4. Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

1. How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
2. What rights you have over your data
As this is an information website, we do not store any personal client information on this site.
As a health service, all our individual providers are registered with the relevant professional registration bodies. All health providers offering services to clients through MindFrameNZ are independent contractors and as such, MindFrameNZ does not manage their professional registration.
Your feedback is important to us. Any complaints received by us with respect to any services offered to clients through MindFrameNZ will be dealt with according to our Complaints Policy. We regret that we cannot deal with complaints regarding services offered through other third parties.
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

1. How we protect your data
MindFrameNZ stores its data on New Zealand based private cloud providers, or on its private tenancies of public cloud providers that can geo-lock storage of MindFrameNZ data to Australasian data centres.
2. What data breach procedures we have in place
MindFrameNZ has an ongoing arrangement in place with a Ministry of Justice licensed security consultant to respond to suspected and/or actual data breaches.
3. What third parties we receive data from
MindFrameNZ receives medical and other relevant personal information from referring third parties such as General Practitioners, Accident Compensation Corporation (ACC), Primary Health Organisations (PHOs), District Health Boards (DHBs), Private (Health) Insurance Companies, Employee Assistance Programmes (EAPs), etc.
4. What automated decision making and/or profiling we do with user data
We may use aggregated and anonymized data gathered from contact form submissions to understand regional client engagement patterns and demand for mental health services across NZ for the purpose of planning future health service provision.
5. Industry regulatory disclosure requirements
As a registered ACC supplier, MindFrameNZ is bound by the Code of ACC Claimants’ Rights. The purpose of the code is to protect your rights as a client, to make sure we offer the highest possible level of customer service, and resolve your issues fairly and quickly. MindFrameNZ stores, manages and disposes of client information that is under our stewardship according to the Health Information Privacy Code (HIPC).
Every ACC provider who works with us must comply with this Code. Also, individual health providers offering services through MindFrameNZ are themselves responsible for storing, managing and disposing of client information that is under their stewardship according to the Health Information Privacy Code (HIPC).
